Payment Reminders
Email customers automatically before or after an invoice is due, and see every reminder sent.
Payment reminders (dunning) email your customers about invoices that are due or overdue. Set them up under Settings → Reminders.
Reminders only send from your own email. Connect Microsoft 365 or set up verified SMTP under Settings → Email first.
Create a rule
- Click New Rule.
- Enter a Name (for example 7 days before due).
- Choose the Trigger Type (Before due date, On due date or After due date) and the number of Days.
- Choose the Document Type (Invoice or Bill).
- Choose who receives it: the Contact email, the contact's Contact persons, or Custom emails (separate several with commas).
- Write the Subject Template and Body Template. You can use these placeholders:
{{contactName}},{{documentNumber}},{{amountDue}},{{dueDate}},{{daysOverdue}},{{organizationName}}. - Tick Enable rule and save.
When reminders are sent
Anchor checks once a day (early morning). A rule matches an unpaid document on exactly that day: for example 7 days after due date sends on the seventh day after the due date. Each rule sends at most once per document. A document created or found after its day has passed is not reminded by that rule, so use several rules (for example 7, 14 and 30 days after) rather than one.
Reminder log
The Reminder Log lists every reminder with its status (Sent, Failed or Skipped), rule, recipient, subject and date. Filter by status to find failures, for example a contact with no email address.
Suggested rules
- A friendly note 3 days before the due date
- A reminder on the due date
- A firmer follow-up 7 days after the due date
- A final notice 30 days after the due date
Include your banking details or a payment link in the body, and review overdue invoices in Reports → Aged Receivables.
