Approvals
Require approval before invoices go out and before bills, expense claims and requisitions reach your books.
Anchor has three kinds of approval. Which one applies depends on the document.
| Document | How approval works |
|---|---|
| Invoices | An approval workflow under Settings → Approvals (below) |
| Bills | Tick Submit for approval instead of posting on New Bill. Anyone with bill approval permission (admins and up) can then Approve or Reject it. |
| Expense claims | Built in: the claimant clicks Submit, an admin approves or rejects. See Expense claims. |
| Purchase requisitions | Built in: Submit, then Approve or Reject. See Purchase requisitions. |
Invoice approval workflows
Open Settings → Approvals and click Create Workflow.
- Enter a Name (for example High-value invoice approval).
- Set Entity Type to Invoice.
- Optionally add Conditions: a field, a comparison (equals, not equals, greater than, less than, greater or equal, less or equal) and a value. For example, total greater than 50000.
- Under Approval Steps, click Add Step and choose the approver for each step. At least one step is required.
- Save.
When someone creates an invoice that matches an active workflow, or clicks Submit for approval on a draft invoice, it goes to Pending approval and cannot be sent until the steps are approved. Approvers see waiting items in their notifications and approve or reject from the invoice.
The Entity Type list also offers Bill, Expense, Journal Entry and Purchase Order, but Anchor does not apply workflows to those documents yet. A workflow for them is saved but has no effect. Use the built-in approval for bills and expense claims described above.
Change or remove a workflow
Use Edit or Delete on the workflow. Deleting cannot be undone. Documents already waiting for approval keep their request.
Who can approve
Approval permissions come from the person's role (see Members and roles). By default, admins and owners can approve invoices, bills and expense claims.
