Payments

Record customer payments against invoices, put leftover money towards other invoices, and see every payment received.

Sales → Payments lists payments received from customers, with Total Received, the number of payments and the average payment. Filter by method (Bank Transfer, Cash, Check, Card, Other) and date, search, and sort by date, number or amount.

Ways to record a customer payment

WhereWhen to use it
Bank line → Match invoice (Accounting → Banking)The money is on your bank statement. This is the usual way: it records the payment and reconciles the bank line in one step. See Banking.
Invoice → Record PaymentYou were paid outside a bank account you import, or want to record it before the statement arrives.
Bank rules with Settle open invoice/billRepeat payers whose deposits carry an invoice number or account code.
Cash salePaid on the spot, no invoice.

Use one route per payment. If you record a payment on the invoice and later match the same bank deposit to the invoice again, the invoice is paid twice. When the deposit arrives, use ⋯ → Find & match on the bank line to link it to the payment you already recorded.

Record a payment on an invoice

  1. Open the invoice and click Record Payment.
  2. Enter the Amount (it defaults to the amount due), the Date and the Method.
  3. Choose the Bank Account the money went into.
  4. Save.

Anchor posts debit bank, credit Accounts Receivable. A part payment marks the invoice part paid (the Partial tab on the invoice list) with the balance still due.

Leftover money

If a customer pays more than an invoice needs (for example via Match invoice with less allocated than the deposit), the extra is held on their account. Open the payment and click Put leftover toward an invoice, choose an open invoice and the amount. The payment page shows Payment amount, what was Put toward invoices and what is Not yet used.

Money paid before any invoice exists belongs in a prepayment.

Delete a payment

Open the payment and click Delete. This reverses the ledger entry and puts the amount back as unpaid on the invoices or bills it settled. You cannot undo a delete.

Supplier payments

Pay supplier bills from the bill (Record Payment) or by matching the bank line with Match bill. See Bills.
